What is an AI receptionist?

An AI receptionist answers your business phone, has a conversation with the caller in ordinary language, and completes the task they rang about.

An AI receptionist is software that answers your business telephone, speaks with the caller, and does something useful with the call: books an appointment, answers a question, takes the details, or passes it to you.

The important part is the conversation. It is not a menu, not a keyword recogniser and not a recorded message. The caller talks the way they would to a person, and it responds.

What actually happens during a call

The call reaches your number as normal. If nobody answers within the number of rings you set, or if it is outside your hours, the call is passed to the assistant instead of to voicemail.

The assistant greets the caller and says what it is. The caller explains what they want. The assistant works out what is being asked, answers from the information you gave it, and takes the next step, which is usually a booking or a message.

When the call ends you get a recording, a transcript and a short summary, and anything you flagged as urgent reaches you immediately by text or call.

Why it is different to the phone robots you already hate

The systems people associate with automated phone lines were built on rigid decision trees and speech recognition that failed on accents, noise and anything unexpected. They were unpleasant because they made the caller do the work.

Current systems handle interruption, understand intent expressed in any phrasing, and cope with people changing their mind mid sentence. They are not perfect, but the failure mode has moved from cannot understand you to occasionally needs to hand over.

Answer the questions your business is asked twenty times a day: opening hours, prices, whether you cover an area, whether you take a particular insurer, how long something takes.

Book into a calendar, with your rules about slot length, which staff member and how far ahead.

Take a message properly, with the details you specify rather than whatever the caller happened to say.

Recognise urgency and escalate it, which for most businesses is the single most valuable thing on the list.

What it cannot do

Give professional advice. It should not, and a well configured one refuses. Clinical, legal and financial advice belongs to qualified people.

Handle a genuinely unusual situation with judgement. It should recognise that it is out of its depth and hand over, which is a design requirement rather than a nice to have.

Replace front of house. Greeting visitors, signing for parcels and knowing your regulars is a job, and this is not it.

Does it tell people what it is?

It should, and any product that hides it is storing up a problem. Callers who are told plainly and then get what they wanted rarely object. Callers who work it out halfway through feel deceived, and that is a much worse outcome than knowing from the start.

What it costs and how long it takes

UK pricing runs from around £200 a month flat to per minute plans from about 40p. Setup is typically a day or two of configuration, mostly spent writing down what your business actually says to callers.

That written down knowledge is usually the most useful by product. Most businesses have never articulated it, and doing so improves how humans answer the phone too.

Questions people ask

Do we have to change our phone number?

No. Your existing number stays exactly as it is. The assistant sits behind it and picks up the calls your team does not.

What happens if it does not understand?

It should say so, take a message and pass it to a person. Guessing is the worst possible behaviour and is worth testing for before you buy.

Can it speak to callers in other languages?

Many can. Whether it is useful depends on whether the rest of your business can follow up in that language.
