Switching from an answering service

The switch itself takes about a day. The contract you are already in is usually the thing that takes three months.

Moving from a human answering service to software is technically straightforward, because both sit behind the same divert on the same number. The work is in the preparation and the notice period.

Done properly there is no day on which your phone is answered worse than it was before.

Check the contract first

Most answering service contracts run twelve months and auto renew, often with thirty to ninety days notice. Find the renewal date before you do anything else, because missing it by a week can cost you a year.

Check whether the number you advertise belongs to you or to them. If they provided it, you may need to port it, and porting takes time and must be started early.

Take your scripts with you

Your existing provider is holding a set of instructions built up over years: how to describe your services, what to say about pricing, which calls to escalate, what to do with complaints. That is genuinely valuable and you are entitled to it.

Ask for it in writing before you give notice, not after. It becomes the starting point for the new configuration and saves a fortnight of rediscovery.

Overlap for two weeks

Run both. Send out of hours calls to the assistant and keep working hours on the existing service, then compare. You will have transcripts from one and message logs from the other, which is as close to a controlled test as this ever gets.

Two weeks is usually enough to see whether bookings are being created properly and whether anything is being mishandled.

What to measure during the overlap

Bookings created, not calls answered. Escalations that should have happened and did not. Any call where the caller asked for a human and did not get one.

Read twenty transcripts in full. It is the fastest way to find the three script changes that matter, and it is the step almost everybody skips.

Tell your customers nothing

There is no need to announce it. The number is the same, it is answered faster than before, and the assistant says what it is when it picks up. Businesses that make an announcement invite an objection nobody was going to raise.

Will we lose call history?

Probably, so export message logs before the account closes. Most providers keep them for a limited period after termination and some cut access immediately.

What if it does not work out?

Keep the divert documented so you can point the number back within minutes, and do not sign a long contract with the new supplier while you are still testing.
